Your horse's welfare is our primary concern but we are also committed to protecting and respecting your privacy. This page will tell you how Mid-Suffolk Equine Vets Ltd (MSEV) will collect and process data when you register with us and use our website. By using any of our services or website you are agreeing to be bound by this policy.

About us

MSEV is an independent veterinary surgery based in Suffolk. We provide ambulatory and clinic-based veterinary services across the county and are proud to provide our own emergency out-of-hours service.

As a veterinary practice we require permission from you to hold and process data as part of our day to day work. We take the protection and use of your data very seriously and implement a number of levels of security as part of this. Personal Data

As a veterinary practice we have a legitimate interest in holding and processing your personal data as highlighted below;

To enable you to have a registered account for your animal at the practice
To facilitate all aspects of providing veterinary care to your horse
As part of our health plan
To allow the provision of services and communication to the owner
To administrate insurance claims with insurers

The type of data we hold about you is usually restricted to;

This personal data will be used for the following services and purposes:

Administration of your registered account to include invoicing, communication regarding our services and provide the products and services you have requested from us.
Record keeping for legal and accounting purposes as required by the law.
To provide you with important service information about the practice
Vaccination reminders ( as long as you have not opted out of this service)
Targeted health care advice relevant and personalised to you
Other promotions or offers
To discuss the results of any diagnostic or laboratory tests
To allow us to conduct further diagnostics on behalf of you animal e.g. laboratory requests
To facilitate insurance claims either on you or on our behalf
Training and security purposes

Clinical Data

In the normal course of our business, we will also generate clinical data in the form of notes, diagnostic images and other documentation. As is the case for your personal data, all clinical data is stored within our practice management system, Teleos. The same care, attention and security is attributed to this data and it is only shared with third parties in the same manner as Personal Data, please see below.

Additional Privacy Regarding Health Plans

MSEV offers a monthly health plan which is paid via direct debit. For this you will need to provide us with your bank account details to setup this service. Once we have utilised this information and the health plan has been created and confirmed, this bank information is not retained by us.

Data Storage

Your data security is extremely important to us and as part of the professional service we provide to you, your personal information is stored within our practice management system called Teleos. This system is compliant with current GDPR legislation.

Sharing Personal & Clinical Data

Occasionally we are required to share data with trusted third parties. Where this is the case we will seek your permission to share your data. Examples of where this may be required are below;

Referral to a specialist practice for further treatment for both personal and clinical data
Registration of microchips implanted by us
Registration of horse passports
Insurance claims / administration
Changing veterinary practices

MSEV will not pass on any of your personal data to a third party outlined above without consent unless the law requires us to do so. MSEV never shares data on a commercial basis.

Website

MSEV utilises website analytics that are provided by a third party to collect a variety of data on the usage of our website. This is standardised information for commercial use only and is taken in a manner that enables everyone to remain anonymous. This type of information is usually limited to visitor numbers and areas of website usage.

Our website utilises cookies to help make our website work more efficiently and to promote our products and services. We also provide contact forms as part of our website and are able to collect personal information where these forms are completed and which forms part of the personal data requirements of our business referred to previously.

If you have linked to our website from a third party site, we cannot be responsible for the privacy of the operators of that third party site.

Opting Out of Communications

We believe that communications between the practice and owner are very important but it is also important to note that you can opt out at any time by;

Once we have received your opt-out, we will adjust our communications with you accordingly.

Our Service Providers

As part of our normal business activities, we may pass on your personal data to service providers contracted to MSEV. These service providers have been vetted by MSEV and they act as a data processor on our behalf. As part of the contract we have agreed with them, they are obliged to keep your details secure and only use them to fulfil the services they provide on our behalf.

How Long We Keep Your Data

MSEV will retain your data ongoing whilst you are a registered client. In accordance with the law we will retain any personal and clinical data for a period of seven years. This does not include any bank account details as previously discussed. Following a period of inactivity of more than two years we will attempt contact and failing any response to this, we will close registered accounts six months following this and data will be archived within our practice management system.

Your Rights

You have a choice regarding the type of information you receive from us. As a registered client, you agree that the personal information you provide will be held as previously described. You have a right to access the information we hold about you and if you wish to see a copy of this please contact us and we will provide this information within 10 working days.

The accuracy of your information is important to us and we would encourage you to contact us promptly with any updates.

You also have a right to complain in the event that you feel we have not taken due care and attention with your personal data. We would advise you to contact us in the first instance as MSEV would take something of this nature very seriously and help with any concerns. In the event that this response was insufficient, you have the right to lodge a complaint directly with the Information Commissioner's Office at https://ico.org.uk/concerns/ by calling 0303 123 1113.
